Why is MS Exchange so Special? Hosted Exchange Benefits

Microsoft Exchange offers several benefits over standard POP (most standard email in Outlook) or web-based (gmail, yahoo, etc) email accounts. For quite some time now Exchange has been used by big companies because of the enhanced functionality.

One of the main features of Exchange is the ability for users to share their calendars, contacts, and even mail folders (Inbox, Sent, etc.) with other users. Sharing comes in very handy, especially for busy executives who have assistants scheduling appointments and replying to emails for them.

Another built-in feature of Exchange is the ability to synchronize your contacts, calendar, and email with a mobile device such as iPhone, Android, or Windows Mobile phones (there are add-ons which make Blackberry’s work too … they are a little extra however). Now, you may be saying “I get my emails on my computer and my phone already” – that may be true however, do your contacts, calendar AND email synchronize automatically? When you delete an email, contact, or calendar item from your computer does it automatically delete from your mobile device or vise versa? With Exchange everything remains in sync all the time…in real-time, no need to plug in your device to sync data anymore.

The last benefit of Exchange that I am going to talk about here is the free-busy features when scheduling meetings with your team. When your scheduling a meeting which will including other team members you want to make sure that those team members have availability on their calendar. Typically, if your a Microsoft Outlook user, you send out a calendar invite and then wait for an accept or decline to that scheduled date/time right? With Exchange all you have to do is put your teammates email address into the invite list and ta-da, there is your teammates available time slots! Now you can say to your client, “Oh, I see Jane isn’t available at that time, could we schedule for 2pm instead…” Much more professional then calling back with an “oops” message once you’ve already hung up.
